Converting a Chase checking statement

PaperRows reads Chase statements for personal and small business checking. This page covers getting the right PDF out of chase.com, what you get back, and what to do when a file is refused.

PaperRows is independent and is not connected with JPMorgan Chase. Chase's menus change from time to time, so if a label below does not match what you see, look for the closest equivalent.

1. Get the right PDF

You want the monthly statement, not a printout of your account activity. They look similar on screen but are very different files.

  1. Sign in at chase.com on a computer. (The mobile app can show statements too, but saving the actual PDF is easier on a computer.)
  2. Open the checking account you want.
  3. Open the main menu and find Statements & documents. Some screens also link to it from the account itself.
  4. Pick the account and the year, then click the statement for the month you want.
  5. Save the PDF that opens. Do not use your browser's Print button to make a new PDF; save or download the original file.

Quick test before you drop it in: open the PDF and try to select a word with your mouse. If you can highlight text word by word, it is probably a text-based PDF. If the whole page highlights as one picture, it is a scan and we cannot read it. Selectable text does not prove we can read the layout, but the free preview will tell you before you pay.

Money in is positive, money out is negative. page and line point at the exact spot on the PDF. The balance column is filled where Chase printed a running balance and left blank where it did not.

4. Import into QuickBooks Online

Intuit moves these menus around, and the labels depend on your QuickBooks version and whether the account is already connected to a bank feed. The steps below are the usual path.

  1. In QuickBooks Online, open Bank transactions. Depending on your version it sits under Transactions or under Banking.
  2. Find the upload option. If the Chase account is already listed, use the arrow next to Link account and choose Upload from file. If it is not connected, look for Upload transactions.
  3. Drag in the QuickBooks CSV from PaperRows and click Continue.
  4. Choose the QuickBooks account these transactions belong to (the Chase checking account in your chart of accounts). Click Continue.
  5. Map the columns: Date to Date, Description to Description, and choose the one column option for amounts, mapped to Amount. Pick the date format MM/dd/yyyy.
  6. Tick the transactions to import, click Continue, then confirm.
  7. The new rows land in the bank transactions review list, where you categorise them like any other bank transactions.

Big statement? Intuit's upload instructions currently limit one file to 1,000 transactions. A busy business account can go over that in a month. If yours does, split the CSV into two files in a spreadsheet, keeping the header row on both.

Already connected Chase to QuickBooks? If QuickBooks is already pulling in this account through a bank feed, uploading the same dates again will create duplicates in the review list. Either upload only months the feed does not cover, or exclude the duplicates in the review list.

5. Why a Chase file gets refused

What the message says What is going on What to do
Scanned or image-only page The PDF is a picture of a statement. Download the original statement from chase.com again. Do not scan or print to PDF.
Not a statement we recognise Often an activity printout saved from the transactions page, or a statement from another account type. Go to Statements & documents and download the monthly statement itself.
Credit card statement Chase card statements are not supported yet. Nothing to do for now. Tell us if you want it.
Password-protected PDF The file asks for a password before it opens. Open it in your PDF viewer and save an unprotected copy, or download a fresh copy from chase.com.
A page is missing Page numbering skips (for example page 3 of 5 is not there). Download the full statement again rather than a page you saved separately.
Totals do not add up The rows we read do not match Chase's own opening and closing balance, or a running balance does not follow. This is our problem, not yours. Write to us with the statement month and the check that failed. Please do not send the PDF.
Date outside the statement period A row's date does not fit the period printed on the statement. Same as above: tell us, and we will look into it.

Stuck? Write to us with the bank, the statement month and what the message said. We never need the statement itself, so please do not attach it.
