Converting a Wells Fargo checking statement

PaperRows reads Wells Fargo statements for personal and small business checking. Here is how to get the right file, how the Wells Fargo layout is converted, and how to fix the usual refusals.

PaperRows is independent and is not connected with Wells Fargo. If a menu label below does not match your screen exactly, look for the nearest equivalent; the bank updates its site from time to time.

1. Get the right PDF

  1. Sign in at wellsfargo.com on a computer.
  2. Find Statements and Documents. It is usually in the menu for your checking account or in the main menu.
  3. Make sure the right account is selected and pick the statement for the month you want. It opens as a PDF.
  4. Use the download or save icon in the PDF viewer to keep the original file. Do not print it to a new PDF.

Rough check for a text PDF: try selecting a word in the file. If text highlights word by word, that is a good sign. If the whole page highlights as one block, it is an image and PaperRows cannot read it. Selectable text does not prove we can read the layout, but the free preview will tell you before you pay.

How a Wells Fargo statement turns into rows

Wells Fargo prints a Transaction history table with separate columns for money in and money out:

PaperRows turns that into one row per transaction with a single signed amount: deposits become positive, withdrawals become negative. Three details worth knowing:

Long descriptions that wrap onto a second line are joined back into one description. If a line could belong to two transactions, we refuse the file rather than guess.

4. Import into QuickBooks Online

QuickBooks labels change between versions, so if a name below is slightly different on your screen, go with the closest one.

  1. Open Bank transactions. It is under Transactions or Banking, depending on your version.
  2. For an account QuickBooks already knows, click the arrow next to Link account, then Upload from file. For an account that is not connected to a bank feed, choose Upload transactions.
  3. Drop in the QuickBooks CSV and click Continue.
  4. Choose the QuickBooks account that stands for this Wells Fargo checking account, then Continue.
  5. Map the columns: Date, Description, and the single Amount column. Set the date format to MM/dd/yyyy.
  6. Pick the rows to bring in, click Continue, then confirm.
  7. Work through them in the bank transactions review list.

Intuit's instructions currently limit one upload to 1,000 transactions. If a statement has more rows than that, split the file in a spreadsheet and keep the header row on both halves.

Why one amount column and not two? QuickBooks Online accepts either. One signed column means a deposit can never land as a withdrawal by a mapping slip, which is the most common import mistake with two-column files.

Already linked Wells Fargo in QuickBooks? Then the bank feed may already have these transactions. Upload only the months it is missing, or you will get duplicates to clean up.

5. Why a Wells Fargo file gets refused

What the message says What is going on What to do
Scanned or image-only page The PDF is an image. Download it again from Statements and Documents.
Not a statement we recognise Often a saved copy of the account activity screen, a savings statement or a combined statement. Download the monthly checking statement itself.
Daily balance does not match One of the printed ending daily balances does not agree with the rows we read for that day. That is on us. Tell us the statement month and the date shown in the message. Please do not send the PDF.
Opening plus activity does not equal closing The overall check failed. Same: tell us, we will look into it.
Date outside the statement period A row's date does not fit the period. Tell us the month and the date in the message.
A page is missing Page numbers skip. Download the full statement again.
Password-protected PDF The file needs a password to open. Save an unprotected copy, or download a fresh one.
Credit card statement Not supported yet. Let us know if you want it.
